Find the cause behind recurring PSA tickets

A practical workflow for turning repeat support themes into improvements you can verify.

Look for patterns, not just volume

Group tickets by client, affected service and symptom. A spike matters, but a smaller issue that returns every week can cost more attention over time. Review related tickets together before deciding they share a cause.

  • Which requests recur after a temporary fix?
  • Do they affect the same users, devices or service?
  • When did the pattern start, and what changed?

Connect tickets to environment evidence

A ticket trend is a lead, not a diagnosis. Compare it with configuration, device, identity and security evidence. Keep missing coverage visible so an absence of data is not mistaken for a healthy environment.

For example, repeated VPN disconnects might lead you to review device sleep policy and network settings. Confirm the relationship before proposing a change.

Make a preventive change within your rules

Compare the observed state with your client-specific standard. Choose the smallest change that addresses the likely cause, record the expected outcome and decide whether the action can be automated, approved in one click or needs technician work.

  • Name the client and systems in scope.
  • Define approvals, exclusions and rollback.
  • Keep the ticket pattern and supporting evidence with the decision.

Verify that the problem stays fixed

Check the resulting configuration and watch whether the ticket theme returns. A completed action is not proof that the underlying issue is gone. If the trend continues, reopen the investigation with the new evidence.

Bring the finding, decision and result into the next client review so the conversation moves from tickets closed to problems prevented.
